Personal Data You Provide to Us
We collect personally identifiable information, such as your name, contact information, and demographic information, that you voluntarily give to us when you register with the App or when you choose to participate in various activities related to the App.
- Account Registration Information: Your first and last name, date of birth, phone number, email address, and chosen username and password.
- Waiver Information: When signing a waiver, we collect your signature, date of birth, emergency contact name, phone number, and relationship. For minors, we also collect the parent or legal guardian's name, date of birth, and contact information.
- Group Account Information: If you are part of a group account, your name is associated with that group. If you are a group manager, you have access to view the names, check-in status, and waiver validity of members in your group.
- Communication Preferences: We collect your preferences for receiving SMS or email communications from us (opt-in/opt-out).
Automatically Collected Information
- Usage Data: Information about your activity on the App, including your check-in and check-out times, session durations, and history of time and target purchases or debits.
- Device and Log Information: We may collect log files and device information, such as your device's Firebase Cloud Messaging (FCM) token to send you push notifications related to your sessions (e.g., "Session Started", "Session Ended"). We also log client-side errors for debugging purposes, which may include data from your device's local storage to help us resolve issues.
How We Use Your Information
Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the App to:
- Create and manage your account.
- Provide and maintain our services, including displaying your barcode for check-in.
- Process transactions and manage your time and target balances.
- Enable group managers to check in members of their group.
- Fulfill and manage legal requirements, such as maintaining signed liability waivers.
- Communicate with you regarding your account, password resets, email verification, or session status via push notification, email, or SMS.
- Send you optional marketing and promotional communications, if you have opted in.
- Monitor and analyze usage and trends to improve your experience with the App.
Disclosure of Your Information
We may share information we have collected about you in certain situations. Your information may be disclosed as follows:
- To Group Managers: If you are a member of a group, your name, check-in status, and waiver validity will be visible to your designated Group Manager(s) within the App.
- Third-Party Service Providers: We may share your information with third parties that perform services for us or on our behalf, including email delivery (SendGrid), SMS delivery (Infobip), and booking management (Bookeo).
- By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others, we may share your information as permitted or required by any applicable law, rule, or regulation.
Data Security
We use administrative, technical, and physical security measures to help protect your personal information. We hash all user passwords using industry-standard algorithms (bcrypt over SHA-256) before storage. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
Data Retention and Deletion
We will retain your personal information for as long as your account is active or as needed to provide you services, comply with our legal obligations, resolve disputes, and enforce our agreements. You may request to delete your account at any time through the "My Account" page in the App. This action will permanently nullify your login credentials (username and password) and delete your push notification device token from our records.
Your Rights and Choices
- Account Information: You may at any time review or change the information in your account or terminate your account by logging into your account settings and updating your account.
- Communications: You can opt out of receiving marketing emails or SMS messages by updating your preferences in the "My Account" page.
- Push Notifications: You can turn off push notifications in your mobile device's settings.
Policy for Children
We do not knowingly solicit information from or market to children under the age of 13. If you become aware of any data we have collected from children under age 13, please contact us using the contact information provided below. For minors using our facility, we require a parent or legal guardian to provide consent and sign the liability waiver on their behalf.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
